Job Summary:

The Project Assistant will be responsible for the management of the project Accounts, Finances, Administration, and HR activities.

The Project Assistant will work closely with the project team. The Project Assistant's responsibility is to coordinate and support the implementation of project activities per the organization's relevant policies, strategies, and the project result framework

Job Responsibilities:

  • Maintain updated records of all separated cashbook transactions of the related projects.
  • Maintain and process office cashbook and send monthly financial report to Finance Department in Kabul according to the Finance manual.
  • Support the selection and recruitment process of project staff
  • Process monthly payroll/payment sheet of project staff, and trainees after qualified completion of documents according to the agreed budget.
  • Monthly financial clearance with Finance Department, and other related departments in Head Office or Regional Offices as applicable.
  • Organize, dispatch, and directly supervise the work of the supporting staff.
  • Organize flights, and accommodation for project staff
  • Fill and process the monthly cash request and purchase request form in close coordination with the provincial coordinator, submit it each month to Project Officer for review and approval
  • Ensure timely project-related procurement process based on ANAFAE’s procurement policy
  • Keep the inventory and GRN lists up to date and send reports to the Administration Department in Kabul. In case of any assets damage, keep the Inventory Officer informed, to replace or repair.
  • Keep the list of employment documents updated and present a monthly report to the Kabul HR Department on any changes that occurred during the month.
  • Assume responsibilities as acting project officer in his/her absence from the office.
  • Fulfill other duties as assigned by Project officer and other relevant departments from Head Office

Job Requirement:

  • The Applicant should have At least 3 years of experience in Finance, Administration, and/or Management.
  • The applicant should have at least Bachelor's Degree in Business Administration, Economics, Public Relations or relevant/higher education is most preferable.
  • The ability to think creatively, work in a team, and perform under strict deadlines and challenging circumstances is crucial. 
  • Knowledge in education promotion and skills development training is desirable.
  • Excellent communication skills, with fluency in written and spoken English. 
  • Good level of computer literacy i.e. MS Office packages etc.
  • Ability to participate effectively in complex teams of various expertise.
